Summary:
SSAI Seeks Staff Assistant I to support work at Jet Propulsion Laboratory, (JPL) National Aeronautics and Space Administration, (NASA) in Pasadena, CA.
The Staff Assistant I Support groups within the Section and back-up support to the Section Office.
This is primarily an administrative support position that will showcase your outstanding customer service, organizational and communication skills.
You will be a member of the Business Administration Group and report to the Business Administration Manager.
Responsibilities:
Providing office support to multiple technical groups within the section, while demonstrating the ability to maintain patience and composure in a dynamic work environment that includes interruptions and changing priorities.
Handling management and technical group members' calendars in Outlook and coordinating large meetings.
Handle Work Authorization Memo Requests.
Assist in maintaining conference room schedules.
Assisting with preparation of presentations, graphics, and website/wiki inputs, including proofreading and editing.
Participate on teams within own organization; may participate on a team outside own organization.
Help coordinate and execute office moves for personnel.
Perform ad hoc duties as assigned.
Providing back-up coverage for the Section and other groups as needed.
Required Qualifications:
Typically requires a High School with 3 years of general work experience; related required training.
Proven understanding of general job aspects specifically in the secretarial/administrative support profession with strong interpersonal skills.
Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Access, Outlook, etc.
).
Consistent track record to work efficiently on multiple tasks while meeting commitments with high quality results and output.
Prioritizing work and completing assignments accurately and in a timely manner.
Willingness to learn about new technologies and tools to enhance and/or improve office procedures and processes.
Motivated self-starter who takes the initiative to perform activities and resolve unusual or nonstandard problems.
Demonstrated ability to successfully handle discreet information.
Excellent customer service and teaming skills.
Must have excellent written and oral communication skills.
US Citizenship required.
Qualifications:
Knowledge of JPL/ESD policies, procedures, and practices.
Experience using JPL-based tools such as, Service Order Modules, WAMs, Property Manager Gateway Administrator, JPL Wiki, and Alfresco.
Experience with Microsoft SharePoint.
Staff Assistant experience in a technical section office environment.
Ability to identify, learn, and apply new processes to improve business operations.
