Semi-monthly Schedule:
Monday to Friday (day shift) and expected to respond to emergencies after the day shift.
Reports to:
Property Supervisor of the Property Management Company Job Functions and
Responsibilities:
- Responsible for all operations of the apartment community.
- Oversee rent collection and expense control.
- Maintain high occupancy level through effective team motivation, keeping informed of market conditions, understanding competitive pricing, and maintaining waiting list in compliance with all applicable regulations.
o Ensure all rental application and the lease agreement is complete within 24-hours after prospects and new residents sign paperwork.
o Track daily prospect traffic and create guest cards and follow up with prospects every day.
o Post vacancy listings and flyers around the property and maintain online ads are properly advertised through various media outlets.
- Ensure compliance with all applicable regulatory and monitoring federal and state agency requirements including, but not limited to HUD Multifamily programs, HOME, and Bond.
- Process and complete annual and interim HUD re-certifications on schedule ensuring compliance with all regulatory requirements.
- Customer Service/Tenant Relations o Respond to the tenant and prospective tenant's phone calls and emails within 24 hours.
o Negotiate and mediate tenant problems effectively within a reasonable time frame.
o Enforce apartment rules daily.
o Conduct annual apartment inspections.
- Rent Collections o Collect rents and late payments.
o Serve late rent notices and other notices.
o Report delinquencies to the Property Supervisor by the 4th of each month.
- Record Keeping o Complete Resident Manager weekly reports including vacancies, delinquencies, and Resident Manager timesheets, and email to Property Supervisor as directed by Property Supervisor.
o Maintain inventory of tools, equipment, and furniture.
o Maintain various reports as directed by the Property Supervisor to track various key performance indexes.
- Maintenance o For unit readiness:
ensure maintenance, paint, carpet, and cleaning is finished promptly and follow up with the Maintenance Department to check on progress daily.
o Call vendors when necessary on established work orders authorized by your Property Supervisor, and maintain work orders and close them out for billing and submittal to the Property supervisor.
o Review the Maintenance Technician's work by signing the Tech's work order at end of each workday.
o Screen maintenance requests by verifying resident requests immediately.
o Walk the property as directed by the Property Supervisor to ensure the property's cleanliness and overall safety.
o Check and replace smoke detectors and carbon monoxide alarms including battery as directed by the Property Supervisor.
