Summary:
Shuster Financial Group, LLC is seeking an Executive Assistant to join our team.
The ideal candidate is a problem solver with excellent communication and prioritization skills, collaborative and proactively seeks additional responsibilities.
Location:
Pasadena, CA
Responsibilities:
Provide daily administrative and personal support to the Firm Partner(s).
Manage calendaring functions for Firm Partner(s), and other company executives and staff when needed.
Manage Firm Partner(s)'s communications including incoming and outgoing emails, including dictation.
Manage business and personal travel arrangements for Firm Partner(s), and other company executives and staff when needed.
Assist in the preparation of meetings including sign-on, monitoring, preparation and assembly.
Professionally communicate with company clients and personal Firm Partner(s)'s contacts.
Assist in management of insurance and municipal licensing.
Assist with office machine and supply management.
Ad hoc projects, including spreadsheeting and PowerPoint presentations.
Requirements/Experience Prior experience supporting C-Suite or other executive level management individuals.
Excellent communication skills - written and verbal, including business correspondence.
Excellent time management, attention to detail and organizational skills.
Proactive problem solver.
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook required.
Proficiency with organizing meetings on platforms, including but not limited to:
Microsoft Teams, Zoom, Google Meet and GoToMeeting.
Other Requirements Must have strong sense of customer service.
Strong sense of accountability and follow-up.
Self-motivated.
Adaptable to change.
